Project Manager I (Entry Level)

Responsibilities

The REB Project Manager is responsible for the successful implementation of material handling systems, primarily for the Records Storage industry. Key responsibilities include; scheduling, profitability and customer satisfaction.

  • Review all bids, evaluate and prioritize based on lead time, quality and size of job.
  • Source vendor capabilities and costs, place orders for required materials and subcontractors. Checks BOM and orders for accuracy.
  • Prepare project schedule, obtain lead times for materials, manage logistics and freight costs, and regularly update stakeholders (customer, salesperson or vendors) throughout project.
  • Review and approve installation drawings and BOM with Project Engineer (PE) and review special requirements with installation subcontractor prior to start date.
  • Contact local building department and document the requirements for obtaining a permit, review all permit drawings and structural calculation set drawings for accuracy. Obtain sprinkler and electrical contractor requirements to include on rack drawings.
  • Communicate clearly with all stakeholders on each project including; suppliers, subcontractors, customer, sales, building department, and upper management.
  • Review open projects with Director, maintain updated project pricing summary (PPS) sheets, keep updated project schedules and ensure customer invoices reflect agreed terms.
  • Obtain customer project sign-off; addressing all punch list items and reviewing final project with Director.
  • Contribute to developing new and improved processes.
  • Timely and accurate completion of PPS reports and maintenance of project logs.
  • Work on several projects simultaneously, in a fast-paced environment with daily deadlines.

Knowledge, Skill, and Ability Requirements

  • Bachelor Degree in Mechanical, Industrial, or Structural Engineering; PMP Certification and/ or training. Or Associates Degree with additional experience considered.
  • Minimum 1+ years’ experience in a Project Manager role for industrial construction or implementation projects. Specific experience as PM, PE or Designer for material handling and/or Records Storage solutions is a plus.
  • Demonstrated understanding of; calculating project profitability, project scheduling, permitting requirements, installation requirements, change order process and defining project scope.
  • Expertise with Microsoft Office products (Word, Excel, PowerPoint and Outlook) and MS Project (job costing reports, resource scheduling and tracking)Strong written, verbal and listening skills
  • SAP business software experience a plus
  • Working knowledge of AutoCAD including developing custom tools
  • Demonstrated ability to execute large projects on-time and under budget
  • Travel (40%) to pull permits, measure buildings, and manage installation (domestic and possibly, international)

Responsibilities

The Administrative Assistant supports the Executive Staff with a variety of administrative tasks.  This role deals with organizing and maintaining employee records along with greeting visitors and has contact with all levels of the company. Independent judgement is required to prioritize tasks and issues, and juggle changing plans.

  • Greet guests when needed in office reception area, keep area neat.
  • Prepare general correspondences, memos, emails, presentations, monthly reports etc. Proofread copy for spelling, grammar and layout, make appropriate changes.
  • Maintain company HR records electronically and paper filing systems according to compliance requirements and act as the liaison to the external HR and Payroll firms.
  • Responsible for payroll administrative duties including documenting adjustments and bi-monthly reporting to payroll firm.
  • Provide employees and managers with forms, policies, annual review process and hiring paperwork (pre-employment and onboarding).
  • Maintain and manage the company vacation and personal time record keeping, process unemployment, worker’s compensation claims and OSHA reporting.
  • Maintain sub-contractor certificates of insurance and keep master log up to date.
  • Schedule office meetings, maintain calendars, ensure conference rooms are prepared for meetings and are cleaned after meetings.
  • Provide a variety of general office, administrative support functions and special projects for the company.
  • Provides special project support.
  • Exercises discretion about privileged and confidential information.
  • Assembles confidential and sensitive information.
  • Take initiative with tasks you see needed.

Knowledge, Skill, and Ability Requirements

  • Well organized, excellent written and verbal communication skills.
  • Competent understanding of ethical conduct and thoroughness.
  • People and problem-solving skills.
  • High school diploma or equivalent.
  • Previous administrative and accounting experience.
  • MS Office product experience (Outlook, Word, Excel, PPT).
  • SAP Business One experience helpful. Or knowledge of ERP programs.

Required Qualifications

The following skills and qualifications are required for this position:

  • A HS degree and ideally working towards an Associate’s Degree in Business/Marketing/Sales
  • Some sales or customer service experience in retail, banking, hospitality or online sales
  • A strong capacity for service, an aptitude for sales and a desire to solve customer problems that leads to closing sales
  • Strong computer skills, basic knowledge of MS Office (Word, Excel & PowerPoint) and general math aptitude
  • Outgoing and personable
